Introduction list creation

Lists are one of the core features of ContactShip App and they allow you a huge flexibility to structure your contacts. Lists are managed automatically and as soon a contact matches their criteria it will be displayed inside them. For example you could define a list for people who love sushi, do horse-riding as sport, and are friends of Harvinder. Each contact can be inside each list once.

If you are a free user you can create list from basic details, if you want to work with the other data sections as well you need to upgrade your subscription to the premium plan. You can create as many lists you want.

There are a few standard lists already in place when you setup the ContactShip App.

So far we included only contacts lists in the ContactShip App, attribute lists will be one of the next features.

How to structure your list


Creating a list is a little bit more complex than the others features of the ContactShip App. We suggest you to “plan” your lists before building them - at least if you want to combine multiple conditions.

You decide how complex your lists get but most users only use a few conditions.

Free users can only use conditions of basic details for their lists.

Be aware that if you create a really complex list with a lot of conditions, subconditions and AND sections you might have no results in your contacts.




How to work with serial conditions


To create list with different OR and AND conditions you need to dissolve the conditions for the ORs.

This means if you want a lists with people who like this AND this OR that, OR don’t like this OR that AND that.

The ContactShip App only allows lists with the structure:
X times AND Conditions
OR
X times AND Conditions
OR
...


Example 1: (Criteria 1 OR Criteria 2) AND Criteria 3

“Contacts who like horses or dogs and who are male”

Contacts who like horses AND are male
OR
contacts who like dogs AND are male

In ContactShip App, contacts with:
Description: Category = “Animal”, Attribute = “Horses”, Attribute Rating > “3”
AND BasicData: Gender = “Male”
OR
Description: Category = “Animal”, Attribute = “dogs”, Attribute Rating > “3”
AND BasicData: Gender = “Male”


Example 2: (Criteria 1 OR Criteria 2) AND (Criteria 3 OR Criteria 4)

“Contact who like horses or dogs and are member of the hiking group or dancing group”

(Criteria 1 AND Criteria 3 OR): Contacts who like horses and are member of the hiking group OR
(Criteria 1 AND Criteria 4 OR): Contacts who like horses and are member of the dancing group OR
(Criteria 2 AND Criteria 3 OR): Contacts who like dogs and are member of the hiking group OR
(Criteria 2 AND Criteria 4): Contacts who like dogs and are member of the dancing group

In ContactShip App, contacts with:
Description: Category = “Animal”, Attribute = “Horses”, Attribute Rating > “3”
AND Groups: Group Name = "Hiking Group"
OR

(Criteria 1 AND Criteria 2 AND Criteria 3 OR): Contacts who like horses AND dogs AND cats OR
(Criteria 1 AND Criteria 4): Contacts who like horses AND zebras

In ContactShip App, contacts with:
Description: Category = “Animal”, Attribute = “Horses”, Attribute Rating > “3”
AND Description: Category = “Animal”, Attribute = “Dogs”, Attribute Rating > “3”
AND Description: Category = “Animal”, Attribute = “Cats”, Attribute Rating > “3”
OR
Description: Category = “Animal”, Attribute = “Horses”, Attribute Rating > “3”
AND Description: Category = “Animal”, Attribute = “Zebras”, Attribute Rating > “3”

You can combine as many AND and OR conditions you want in each list and you only have to create this definitions once per list.




Which criteria can be used per data section


ContactShip App structures your data in different sections with different data types per section. Therefore you can access different operators in your lists per section you want to include. Here is a short introduction per section.

One entry can consist of different sub conditions and you can add multiple conditions of each data section per AND condition section (besides basic data). The sub conditions in a condition are related as AND to each other.

(A) Basic data

Even if the basic details are different attributes, the ContactShip App treats them like one. Therefore you can only include 1 basic condition per AND condition section.

You can include in your condition: First Name, Last Name, birth name, nick name, look, rating, marked status, relation status, gender, and 1 subcondtion of the: Birthdate/Birthday/Birth month/Birth year/Birth year-month/Age

If you select for example ‘First Name = “Paul” AND Rating = “5”’ than all your contact with the name Paul and the green arrow up will be inside your list.


(B) Contact details (premium feature)

You can include in your condition: Attribute (= Label), Attribute Value (= Number/E-Mail-Address), Attribute Marked, Attribute Rating, Category, Create Date, Update Date

If you select for example ‘Attribut = “Private” AND Update Date > “2021-04-01”’ than you limit the result list to all the contacts with a Private Contact detail entry that has been updated since April 2021.


(C) Description (premium feature)

You can include in your condition: Attribute, Attribute Value, Attribute Marked, Attribute Rating, Category, Create Date, Update Date

If you select for example 'Category = “Cloths” AND Attribute = “Shirt” and Attribut Rating > “3” than you limit the result list to all your contacts who have an shirt entry in the cloth category of their description section with a green rating.


(D) Contact history (premium feature)

You can include in your condition: Occasion Name, Description, Interaction Marked, Interaction Rating, Category, Create Date, Update Date.

If you select for example ‘Occasion Name contains “Shopping” AND Interaction Rating < “3” than you limit the result list to all your contact who have an negative interaction entry of a occasion with the name shopping. People you maybe shouldn’t go shopping with again.


(E) Groups (premium feature)

You can include in your condition: Group Name, Function of person, Attribute Rating, Category, Create Date, Update Date


(F) Friend circle (premium feature)

You can include in your condition: Contact Name, Info, Attribute Rating, Category, Create Date, Update Date


(G) Custom (premium feature)

You can include in your condition: Attribute, Attribute Value, Attribute Marked, Attribute Rating, Category, Create Date, Update Date

You can use a combination of all this items to define your conditions.

To access the new or edit list view you have to slide a list left in the lists and groups view and tap on the “pencil” symbol, or you tap “+” and on “list”.

There are a few standard lists already in place when you setup the ContactShip App which can’t be edited.

(5) add basic condition

Tap on “Add basic condition” to open the add basic condition view to add a basic condition.

Be aware that you only can add one basic condition per AND section. If you have already a basic condition the “Add basic condition” option isn’t displayed for that AND section. In this case you would need to delite or edit the exiting basic condition.
